I have 3 gmail accounts that are managed by Thunderbird. When I delete messages they do not appear in the "deleted" folder. I attach a few screenshots, which might help diagnose the problem. Incidentally, for "richardandrewpalmer" I cannot set the delete folder.

Can anyone help resolve this issue please?

re :Why, when I compose an email, particularly on my phone as it takes longer, are multiple copies being dropped into the delete folder?

As you compose the email, every x seconds a draft copy is created. When the latest draft copy is created, the previous one is deleted. Hence you will see various copies of email in 'bin'. This is how gmail works. You could change the auto draft save time in Thunderbird, but I have no idea what you have set up on the phone and your phone has nothing to do with Thunderbird. In Thunderbird

  • 'Menu icon' > 'Options' > 'Options' >'Composition' > 'General' tab
  • Auto save every xx minutes.
  • click on OK

re :Why is there a separate "phone" category? Maybe you have a gmail phone app? Maybe you created the additional 'labels' via the phone? Maybe you have all the emails sent by phone in the Phone > 'Sent' folder?

You are seeing that folder in Thunderbird because you have subscribed to see that folder. In gmail webmail account, the 'Phone' folder/label will be enabled to 'show in imap' and you are subscribing to see it in Thunderbird. If you have all your phone sent emails in a different sent folder then perhaps it would be useful to see it in Thunderbird. To stop seeing folders, unsubscribe:

  • Right click on mail account name in Folder Pane and select' Subscribe'
  • select name of folder and click on 'Unsubscribe'
  • click on 'OK'

The first image the third image show your list of outgoing servers.

In the first image there are three outgoing servers. One outgoing server per mail account. This is correct. Each mail account will need to use the outgoing smtp server for that mail account as the email address/user name and the password will be different even if all other data is identical.

If you do not use a separate one for each mail account, then gmail will send through only one. Assuming gmail will do this, what happens? Gmail will change who sent the email, so the FROM email address you used eg: RichardRemlap will be replaced by the Palmer Consulting email address and you will see emails being replied to wrong email address.

To tell which one is the correct one for each mail account. select the smtp server in list. click on 'Edit' Look at the User Name = email address. Now edit the 'Description' field so it says something more meaningful and can help you to know the username /email address for that gmail account. eg: Palmer Consulting click on Save. Then make sure the mail account is using the correct smtp server. Select the mail account name in left pane. Bottom right it mentions 'Outgoing server (SMTP)' . The description field contents will show, so you can choose the correct smtpp server for that mail account.

Repeat for the other mail accounts.

So why has the third image suddenly not show up the other two ? Have you deleted them ? If yes, then you need to create them again and assign them correctly to respective mail accounts.

The second image shows your Folder Pane.

Unfortunately, you have posted it using the 'Unified' view, which means it is not possible to know what each mail account 'Trash' folder is called.

However, as some 'Deleted' folders do not have the correct icon, it means something is wrong. Two accounts are displaying a folder icon instead of the 'Deleted'/'Trash' folder icon. So this would imply you have not subscribed to see the folder and therefore cannot use it or you are selecting a user-created folder which is also wrong.

Suggest you use the view 'Folders' > 'All' whilst sorting this out.

Logon to the webmail account for each email address using a browser. Make sure the 'Trash' has been selected as 'Show in imap' See image below as guide. Note in English gmail server it is called 'Bin'

In Thunderbird You need to make sure you have 'Subscribed' to see the 'Trash' folder on each server for each mail account. At the moment you have an image showing you cannot select a folder. This is probably because you have two accounts currently not subscribed to see the Trash for their repective mail accounts.

  • right click on the mail account name in Folder Pane and select 'Subscribe'
  • Choose the 'Trash' folder and click on 'Subscribe'
  • click on OK

Do this for all efefcted mail accounts.

Now you have to select to use that folder.

  • right click on the mail account name in Folder Pane and select 'Settings'
  • select 'Server Settings'
  • Choose the 'Trash on correct imap gmail mail account'

Do the same for all mail accounts.

click on 'OK' to save and close Account Settings.

Exit Thunderbird Wait a few moments for background processes to complete. Start Thunderbird.

thank you Toad-Hall, Apologies for the confusing screenshots, was work in progress. I've tidied this up as you suggested but still have the problem with deleted mail not being retrievable via Thunderbird (of course I can find them via webmail on the brwoser).

Many thanks Toad-Hall, I'll follow your second set of changes when I've completed some urgent work.

Hello Toad-Hall, I've done as you suggested. The delete issue is resolved but I've some additional questions:

What is the reason for and relationship between Google mail, Gmail? Why is there a separate "phone" category? Why, when I compose an email, particularly on my phone as it takes longer, are multiple copies being dropped into the delete folder? These are a problem when searching for messages on my phone as they clutter the search result. I've attached screenshots to illustrate the current situation and these questions.
